Job Description:

A growing professional services organization is seeking an experienced IP Paralegal to support its intellectual property team. This role is responsible for maintaining an IP docketing system and ensuring the accurate tracking and communication of critical deadlines related to patent and trademark matters across U.S. and international jurisdictions.

Key Responsibilities

  • Maintain and update the IP docketing system to ensure accuracy of all records
  • Review incoming correspondence and filings to identify docketing requirements
  • Calculate and docket deadlines for U.S., PCT, and international patent and trademark matters
  • Track and manage deadlines for:
    • U.S. and foreign application filings (including PCT and national stage)
    • Office actions (patent, trademark, and PCT)
    • Foreign prosecution matters
    • Maintenance fees and annuities
    • Trademark renewals, declarations, statements of use, and related matters
  • Generate and distribute deadline reports to attorneys and internal stakeholders
  • Monitor upcoming deadlines and follow up as needed to ensure timely action
  • Escalate urgent or missed deadlines in accordance with internal procedures
  • Assist with onboarding new matters into the docketing system
  • Maintain electronic files in compliance with internal processes
  • Support process improvements and best practices related to docketing and risk management


Qualifications

  • 3+ years of IP docketing experience in a law firm or corporate legal environment
  • Strong understanding of U.S. patent and trademark prosecution processes
  • Experience calculating international patent and trademark deadlines
  • Proficiency with IP docketing software systems
  • Advanced skills in Microsoft Office (Outlook, Excel, Word)
  • High attention to detail with the ability to manage high-volume work
  • Paralegal certificate or equivalent experience preferred
  • Experience with international filings
  • Familiarity with USPTO and related systems or procedures
