We are looking for a Legal Administrative Assistant who anticipates needs before they arise and takes ownership of the filings, docketing, and administrative rigor that keeps a complex practice running. Key Responsibilities:
- Provide comprehensive legal administrative support, including calendar management, scheduling attorney and client meetings, conferences, and depositions
- Prepare and edit legal correspondence and documents, including document comparisons, conversions, PDF manipulation, formatting, and proofreading
- Electronically file litigation pleadings and other documents with state, federal, and appellate courts — locally and nationally
- Provide docketing and calendaring support, including court scheduling orders, briefing schedules, and other court-mandated dates
- Maintain electronic client files, including pleadings, indices, and original documents
- Review and finalize attorney and paralegal time entries and manage client invoices
- Process conflict checks, engagement agreements, and new client intake promptly and accurately
- Monitor and maintain attorney professional memberships, CLE reporting, and license renewals
- Coordinate travel arrangements and report expenses
- Review, organize, and distribute daily mail across numerous client matters
- Track and organize receipt and expense submissions
Required Qualifications:
- High school diploma or GED equivalent
- Strong word processing skills, including efficient use of Microsoft Styles, and proficient basic Excel skills (data entry, manipulation, simple formulas)
- Proficient transcription skills from digital dictation
- Familiarity with legal terminology, procedures, and firm templates
- Excellent grammar, proofreading, and superior attention to detail
- Strong written and verbal communication skills
- Ability to handle a large volume of detailed work with accuracy under court deadlines
- Demonstrated ability to handle confidential information with integrity and professionalism
- Positive, collaborative team approach with a solution-oriented mindset
Preferred Qualifications:
- At least two years of business litigation legal assistant experience in a law firm
- Prior experience providing administrative support in a legal office
- Familiarity with iManage, InTapp, iTimekeep, or similar legal software platforms
Compensation & Benefits:
Compensation is aligned with experience, with a salary range of $48,000 to $91,000 based on your background and fit for the role. Candidates ranging from early-career to seasoned legal assistant professionals are encouraged to apply.
