Job Description:
This organization is an organizational effectiveness firm that partners with executives, leaders, and people managers to build a culture of healthy accountability. Clients leverage coaching, development programs, assessments, and tools to help teams thrive and achieve results together.
This role reports to senior leadership and is responsible for processing and reporting on financial transactions for the organization. This is a part-time, primarily in-office role. Benefits include PTO based on hours worked.
Key Responsibilities
Accounts Payable & Receivable
- Manage company credit cards and reconcile receipts
- Maintain vendor and contractor documentation (including W-9s)
- Enter and schedule payables; process checks and ACH payments
- Invoice clients, process payments, and manage billing schedules
- Reconcile Stripe deposits and create payment links
- Track reimbursable expenses and follow up on past-due accounts
Payroll & Employee Support
- Process biweekly payroll and verify quarterly/annual reports
- Update tax rates and ensure payroll tax compliance
- Assist with audits and surveys (workers’ comp, insurance, etc.)
- Track commissions and SIMPLE IRA contributions
- Support employee onboarding and profile updates
Financial Reporting & Monitoring
- Update weekly cash flow and monitor bank balances
- Prepare monthly financial statements
- Manage deferred revenue and expense schedules
- Provide financial information for leadership meetings
- Assist with annual budgeting
Tax & Compliance
- Maintain 1099 records
- File quarterly sales/use tax returns
- Support year-end tax preparation
General Support
- Maintain organized digital and paper financial records
- Assist with financial tasks at company events
- Support leadership in implementing financial best practices
- Maintain inventory records in QuickBooks
Required Experience
- Bachelor’s degree in accounting required
- Demonstrated analytical, strategic, and innovative thinking
- Strong oral and written communication skills
- 3–5 years of experience in a fast-paced office environment
- Proficiency in QuickBooks Online
- Knowledge of cash- and accrual-based accounting and financial schedules
Preferred Experience
- Experience supporting a family-owned or small business
- ADP payroll experienceProfessional Skills
- Proficient with Mac or PC and Microsoft Office (Outlook, Excel, Teams)
- Highly organized, detail-oriented, and proactive
- Strong problem-solving and time-management abilities
- Professional, friendly, and effective communicator
- Able to work independently and adapt quickly
